Visa Information

Conference Registration and Visa/Invitation Letter Issuance are Now Closed


For international participants who require a visa to travel to Canada for the conference, we strongly advise that you start the application process as soon as possible. Visa application times can vary greatly, so please allow plenty of time.


Visa Requirements

Participants should check the official website of the Government of Canada (https://www.canada.ca/en/services/immigration-citizenship.html) to determine whether they need a visa to enter Canada.


Applying for a Visa

Once you've determined that you need a visa, you can apply online through the Government of Canada's official website. You will need to provide certain documents, such as a passport or other travel document, and possibly a letter of invitation from the conference organizers.


Letter of Invitation

If you are planning to attend the CEGS 2024 conference and require a formal invitation for visa purposes to travel to Canada, please take the following steps:

  1. Ensure Registration: Before requesting an invitation letter, you must have completed your registration (CLOSED) for the conference. This applies whether you are attending as a presenter who has submitted an abstract or paper, or as a participant without a presentation. Refer to the earlier details for information about the various categories and fees for registration.

  2. Contact Conference Organizers: Send an email to the conference organizers at info@cegs2024.org (No longer in use) with the necessary details. The required information includes:

    • 1) Receipt of conference registration fee or the Receipt Number
    • 2) Full name as it appears on the passport
    • 3) Date of birth
    • 4) Full postal address
    • 5) Passport number
    • 6) Passport issue date
    • 7) Passport expiration date
  3. Wait for Letter of Invitation: Upon verifying your registration and processing your request, the organizers will issue the Letter of Invitation.

  4. Use Letter for Visa Application: Present this letter as part of your visa application to demonstrate that you have a legitimate reason to visit Canada for the conference.

  5. Understand Limitations: Please be aware that the Letter of Invitation itself does not guarantee that a visa will be granted. It is an essential document to support your application, but other requirements must also be met as per the Canadian embassy or consulate guidelines in your region.


Abstract/Paper Acceptance Letter

Please be advised that if your abstract or paper is accepted, the conference will send you an official acceptance email. We will not provide a separate acceptance letter. However, if you have completed your registration and made payment of the conference fee, you can receive the acceptance letter along with the visa letter. Ensure you use the email correspondence as required. We kindly ask that you refrain from contacting us regarding this matter or requesting an acceptance letter under any circumstances.


Electronic Travel Authorization (eTA)

Some participants may not need a visa but instead might need an Electronic Travel Authorization (eTA). The eTA allows certain visitors to fly to Canada. Find out if you need an eTA: https://www.canada.ca/en/services/immigration-citizenship.html


Arriving in Canada

Upon arrival in Canada, you must present your passport or travel documents, your visa (if required), and any other documents needed for the border services officer. Be prepared to answer questions about the purpose of your visit and how long you plan to stay.
